Individual Coaching Policy and Agreement

This Agreement is entered into by and between:

the Client [“You”]: Your name

1. Coaching Services

As your coach specialising in coaching psychology with a Gestalt approach, I agree to provide coaching services to you, the Client. Coaching is a creative collaboration between the coach and the client that focuses on personal and professional development. Gestalt approach to coaching, which I mainly use, is an integrative method and philosophy that focuses on the here-and-now experience, emphasising awareness of thoughts, emotions, and behaviours in the present moment.

Coaching is not therapy, and it does not substitute for therapy if needed.

As a client, you are responsible for your own well-being and decisions made as a result of coaching.

2. Session Structure

  • a. Coaching sessions will be conducted through video chat meetings (e.g. Zoom or Google Meet), with a duration of 60 minutes. Please ensure to have a working camera – I cannot provide audio-only sessions.

  • b. Coaching sessions involve a collaborative, conversational process designed to explore personal and professional goals. The Gestalt approach involves a focus on present-moment awareness, personal responsibility, and the exploration of patterns and behaviours. It emphasises experiential learning. Sessions may include open dialogue, creative exercises, and reflective practices to enhance self-awareness.

  • c. Sessions may involve exploring current challenges, identifying patterns, setting goals, and experimenting with new behaviours. I will support you in gaining insights and developing strategies for positive change.

3. How to Prepare for the Sessions

  • a. Mindful Presence: I encourage you to arrive for sessions with a clear and focused mindset, ready to engage in the coaching process. Slow down.

  • b. Setting Goals: Prior to each session, you may find it helpful to reflect on specific goals or challenges that you want to address, ensuring that the coaching conversation is tailored to your needs.

  • c. Openness to Exploration: Gestalt coaching involves exploring new perspectives and behaviours. You are encouraged to approach sessions with an open mind, ready to explore possibilities and experiment with change. If such occurs, I invite you to stay with the discomfort a little bit longer than you are used to. Such experiences provide an opportunity for growth and learning.

4. Expectations During the Session

  • a. Active Participation: You are encouraged to actively participate, share your experiences openly, and be willing to experiment with new perspectives and behaviours.

  • b. Open Communication: Honest and open communication is key. You are encouraged to express concerns, ask questions, and provide feedback to ensure the coaching relationship is effective.

  • c. Self-Reflection: Gestalt coaching places importance on self-awareness. You are encouraged to engage in the process of self-reflection before, during and after the session. Some clients find it helpful to journal about their thoughts and experiences. Regular self-reflection ensures continuity of our sessions.

  • d. Commitment to Action: The coaching process is most effective when clients commit to taking action between sessions. Implementing insights gained during coaching into daily life is essential for personal and professional growth.

5. Cancellations, Rescheduling and Fees

  • a. Cancellations: If you wish to reschedule or cancel our appointment, please do so at least 24 hours in advance. I will not be able to provide refunds for sessions cancelled within a shorter time frame.

  • b. Being late: Please let me know if you will arrive to our session late. If you are late more than 10 minutes without notifying me, I will consider the session to be missed and no refund will be provided.

  • c. Fees: Current fees our outlined on mind-mastery.com/coaching I reserve the right to change the rates with a 30 day notice. Every coaching session needs to be paid for at least 24 hours before the appointment.

6. Refund Policy

  • a. No refunds will be provided for completed sessions (exception under “d” section).

  • b. If you decide to terminate the coaching program before completion, no refunds will be issued.

  • c. I reserve the right to cancel our coaching program if there is a breach of this coaching agreement, the sessions do not seem to provide any value or if there is a breach of professional boundaries. In such an event, the refund for the remaining sessions will be provided.

  • d. If, after a minimum of 3 months and diligent application of agreed-upon strategies, you do not perceive any positive change, a refund for the completed sessions may be requested. This request must be made in writing, and the Coach will assess it on a case-by-case basis.

    Alternatively, I can offer additional free sessions.

    The only conditions for this type of refund or free sessions are that you remain honest with me throughout the process, complete the tasks we agree upon, and communicate as soon as it's evident to you that our sessions are not beneficial to you.

7. Drug and Alcohol Policy

I operate on a zero-tolerance policy regarding the use of drugs and alcohol during coaching sessions. If you arrive under the influence of drugs or alcohol, I will cancel our session without refund. If it happens more than twice, I reserve the right to terminate our coaching program without refund.

8. Confidentiality

The coaching relationship and all information that you share will be treated with confidentiality, in accordance with professional ethics. I will not disclose any information without your written consent, except in circumstances outlined in the ICF Code of Ethics.

9. Termination

Either party may terminate this Agreement with a 2 weeks written notice. You agree to pay for all coaching services rendered up to the effective date of termination.

10. Limited Liability

I make no guarantees, representations, or warranties, express or implied, with respect to the coaching services. My liability is limited to the amount paid by the Client for coaching services.

Group Coaching Policy and Agreement

1. Coaching Services

As your group coach specializing in coaching psychology with a Gestalt approach, I, Joanna, along with co-leader Schizoid Angst, agree to provide coaching services to you, the Participant. Group coaching is a creative process of self-exploration and learning within a supportive and confidential group setting. It focuses on personal and interpersonal development, leveraging the Gestalt approach for present-moment awareness and experiential learning.

Coaching is not a substitute for therapy. Each participant is responsible for their own well-being and decisions that may be a result of the group coaching sessions.

2. Group Coaching Program Structure

  • a. The group coaching program consists of eight 90-minute sessions, conducted through video chat meetings (e.g. Zoom or Google Meet). It is recommended to use camera, but not required.

  • b. The goals of each program are influenced by the group members, ensuring a collaborative and participant-driven experience.

  • c. Each session includes opportunities for discussing personally relevant subjects, optional individual coaching ("Hot Seat"), exploration of the present moment and group dynamics, experimentation with new behaviours, and receiving feedback from others.

3. Participant's Preparation for Sessions

  • a. Mindful Presence: Participants are encouraged to arrive with a clear and focused mindset, ready to engage in the group coaching process. Slow down.

  • b. Setting Personal Goals: Reflecting on specific goals or challenges before each session is recommended to tailor the coaching conversation to individual needs.

  • c. Openness to Exploration: Embracing the Gestalt coaching philosophy involves exploring new perspectives and behaviours. Participants are encouraged to approach sessions with an open mind and a willingness to explore possibilities.

4. Expectations During Group Sessions

  • a. Active Participation: Participants are encouraged to actively engage, share experiences openly, and be willing to experiment with new perspectives and behaviours.

  • b. Open Communication: Honest and open communication is key. Participants are encouraged to express concerns, ask questions, and provide feedback to ensure the group coaching experience is effective.

  • c. Self-Reflection: Importance is placed on self-awareness. Participants are encouraged to engage in self-reflection before, during, and after sessions.

  • d. Commitment to Action: The group coaching process is most effective when participants commit to taking action between sessions, implementing insights gained for personal and interpersonal growth.

5. Cancellations and Being Late

  • a. Cancellations: If you change your mind regarding joining the group coaching program, please cancel your participation at least 72 hours before the first session.

  • b. Being Late: If you anticipate being late, please notify the co-leaders or other group members. If you are late more than 15 minutes without notice, joining the session will not be possible.

6. Refund Policy for Group Coaching

  • a. We cannot provide refunds for the group coaching program if you participate in at least one session of the program, or if you cancel your spot less than 72 hours before the first session. This is because we cannot admit anyone on your place once the group starts or if there is such a short time before the first session.

  • b. If you complete the whole group coaching program, follow through all recommendations and exercises, remain honest throughout the process and communicate as soon as you notice that the group is not suitable for you – a refund for the completed sessions may be requested. This request must be made in writing, and we will assess it on a case-by-case basis.

    Alternatively, we might be able to offer you a free spot in the next group coaching program.

7. Group Dynamics and Policies

  • a. Confidentiality: All sessions are confidential, and participants are prohibited from recording or transcribing them. Discussion about sessions outside the group is not allowed to maintain trust and confidentiality.

  • b. Being Late or Absence: Participants are expected to notify co-leaders or group members if they will be late or absent.

  • c. Respect: Participants are expected to respect the unique challenges and struggles of each group member, avoiding criticism, advice-giving, or judgment.

  • d. Communication: Transparent and authentic communication is encouraged. Participants are urged to discuss any discomfort or concerns either directly with the co-leaders or within the group.

8. Limited Liability

The coach and co-leader make no guarantees, representations, or warranties, express or implied, with respect to the group coaching services. Liability is limited to the amount paid by the participant for coaching services.

9. Drug and Alcohol Policy

A zero-tolerance policy is in place regarding the use of drugs and alcohol during group coaching sessions. Arriving under the influence may result in session cancellation without a refund.

By participating in the group coaching program, you acknowledge your understanding and acceptance of the terms outlined in this agreement. If you have any questions or concerns, please communicate with the co-leaders.
